How to Host a Boarder

Definition of a Host

Hosts wishing to take an Ascham boarder on Leave must acknowledge and accept certain responsibilities to ensure the safety and wellbeing of the Ascham boarder while they are in their care.

A Parent/Guardian is defined as a Mother, Father or any other legally recognised Guardian of an Ascham boarder.

A Host is defined as any other person, including direct family members, who are over the age of 21.

All Hosts must acknowledge the responsibilities and expectations when approving and accepting a Leave request submitted through Orah, the management system used to organise Leave for Ascham boarders.

Approving Leave

Ascham Boarding uses Orah to manage Leave requests. Each boarder is responsible for submitting Leave via Orah and will list an adult over the age of 21 years as their Host on the Leave form. The Leave form includes the Host’s street address and contact details, departure and return time, and transport details.

The designated Host will receive an email request to confirm that all details of the Leave form are correct. The email from Orah will also outline the Host Responsibilities and Expectations. This ensures that the Host, the Boarding parent/guardian and Boarding staff are all operating with the same information.

Weekend Leave must be approved by the Host, the Boarding parent/guardian and Boarding staff before a boarder can take Leave.

Transport to Sport

The Ascham School community is instrumental and essential in ensuring the boarders have transport to their sporting commitments. The boarding community is very grateful for the generosity of the Day School families in providing this service.

The responsibility for arranging transport to sport lies with the boarder. Each boarder is responsible for submitting Leave via Orah and will list the Day School parent/guardian providing transport to sport as their Host.

The designated Host will receive an email request to confirm that all details of the Leave form are correct. If the Host would like to extend the trip into an outing after the sports game, please communicate this directly to staff from the boarder’s Boarding House so that the details of the Leave pass can be updated accordingly.

Host Responsibilities and Expectations

Boarding Host are required to acknowledge and accept the responsibilities outlined below to ensure the safety and wellbeing of the Ascham Boarder while they are in their care:

  • Discuss and confirm all plans and details of any activity with the boarders’ parent/guardian and or carer.
  • Ensure a safe and secure living environment by abiding by relevant state and federal laws.
  • Maintain adequate supervision at all times, taking into consideration the student’s age and maturity level.
  • Provide safe transportation while the Boarder is on leave.
  • Provide appropriate medical care and access to healthcare services when needed. Provide immediate medical assistance and notify parents and Boarding Staff in case of emergency.
  • Administer prescribed medications as instructed by parents or healthcare providers.
  • Contact the Boarder’s parent/guardian and inform the Boarding Staff on Duty as soon as possible if Leave plans change.
  • Contact the Boarding Staff on Duty if the boarder is running late and will not return from Leave at the designated time.
  • Be 21 years or older.
